Designing Audio & LED Elements Under Weight Restrictions

Hilton's Americas Leadership Conference 2019

In the spring of 2019, 2000 Hilton leaders gathered at the Hilton Orlando for the Hilton Americas Leadership Conference.

The producer, agencyEA, has a history producing other Hilton events, and are known for bringing together the brand’s cohesive vision together with immaculately executed details. OSA was contacted to provide the audio, video and LED aspects for the conference.

The venue had strict weight restrictions which provided all event technology departments a challenge. OSA Senior Audio Engineer Peter Wiejaczka designed the sound system around the Martin Audio Wavefront Precision series line array due to their excellent power to weight ratio, while the video team chose the reliable and lightweight Absen A3Pro tiles for the LED components.

An additional challenge was a shortened changeover time between the closing general session and concert.

The main speaker arrays that were deployed for the general sesion required a reconfiguration so that they would be capable of reproducing high-quality rock band entertainment audio. These arrays were deployed during a short changeover and would have otherwise blocked scenic and LED elements during the business sessions.

At the highest point, the audio team consisted of seven engineers all working to provide the best audio possible to accommodate the small window into the entertainment. Together they provided FOH & monitor mix services, intercom/RF technicians to place microphones on presenters and operate the intercom system, RF coordination services to manage over 150 frequencies across the venue property, and entertainment technical support.

The video team had unique challenges as well, including configuring the rigging for the faceted LED element and projection mapping onto moving prop elements during the CEO reveal.

LED Video Walls

Entering the arena, fighters emerged from the Wall of Thunder, built from Absen A3Pro 3.9mm LED tiles

A 3.9mm “jumbotron” scoreboard providing a ringside view for everyone in the arena is the visual centerpiece, and is also built from Absen A3Pro 3.9mm LED tiles

Two video walls of the same size were flown left and right of the center display A five-sided JumboTron-like LED display was flown over the stage for an impressive in-air display – the total canvas was 4,480 pixels wide! Revolution BLADE LED strips were used to create an eye-catching scenic background All in all, twelve NovaStar LED processors in total were used for the LED components, including those set for redundancy

Projection Mapping

Hilton wowed their audience with a modern dance performance by Freelusion using 3D mapping technology to create an immersive experience

OSA provided projection mapping support for an act, which required steep projection onto the stage. Projection cone studies were drawn to evaluate lens calculations and determine surface coverage

A Christie® Boxer 4K30 was utilized. OSA’s team and technology turned the client’s vision into reality for a great act!

Video Engineering

OSA used an HD24 Multi-Format (HD/SD) System, based on a Ross Video production switcher for directing and engineering

A Barco E2 Screen Management System was used to facilitate picture-in-picture and screen source/destination routing

A WATCHOUT System deployed for playback

OSA video engineers used DT Videolabs PlaybackPro for motion video & audio

An HD camera system was implemented, which included five high-definition studio cameras and record decks for each camera

LED Video Walls

The center ground-supported video wall was built at 23′ wide by 13′ tall from Absen A3Pro 3.9mm LED tiles

For the center wall, OSA used Adaptive Technologies Group’s innovative Loc-n-Load LED Ground Support System
